
Culpeper Chamber Events Coordinator
TITLE: Events Coordinator
REPORTS TO: President/CEO
FLSA: Non-Exempt
The Culpeper Chamber of Commerce is seeking a successful and enthusiastic event planner to coordinate, manage, and produce events from conception through completion. Event coordinator responsibilities include providing outstanding member service, collaboration and support to committees, and organizing successful events that meet quality expectations.
Responsible for communicating with President/CEO and bookkeeper to ensure financial reports are current and accurate.
Essential Duties and Responsibilities
- Collaborate and support event committees on multiple events. (State of the Community, Women’s Lift Event, CulpeperFest, Valor Awards, BIE Day, Golf Tournament, Annual Meeting, Legislative Breakfast)
- Establish and provide support to specific event committees
- Specify event committee requirements and coordinate their activities
- Event committees have clear goals and budget
- Event marketing is timely & effective and is coordinated with the Marketing and Communications Coordinator and the Membership and Marketing Committee
- Events comply with all legal and safety regulations
- Collection of event revenue and payment of event expenses
- Bidding for services in keeping with Chamber policies & practices
- Conduct post-event evaluations and provide reports to event committees and Chamber CEO.
- Coordinate ribbon cuttings and Chamber socials for Chamber members
- Compare event calendars with community partners to avoid scheduling conflicts and maximize event attendance.
- Collaborates with Chamber staff and members in creating new event opportunities.
- Regular outreach to increase and retain Chamber members to meet established targets
- Work with the President/CEO to retain and cultivate Chamber partners/event sponsors. Maintains open communication with partners and sponsors to ensure their satisfaction with Chamber programming.
- Record accurate data re: membership & member engagement in Customer Management Relations (CRM) Software - Chambermaster
- Works collaboratively with Chamber staff to plan and market meetings and events
- Secure corporate and event sponsorships by Chamber members
- Develops new opportunities to build community awareness of the Chamber.
- Other duties as needed.
- Upholds the values of the Chamber to support all Chamber members equally
- BA in Event Management preferred, or related experience.
- Proven experience as an events planner or organizer.
- Sales skills and ability to build productive business relationships and market events.
- Must have excellent communication and interpersonal skills.
- Ability to manage multiple projects independently and efficiently.
- Strong analytical and problem-solving skills.
- Excellent oral and written communication skills.
- Able to travel regionally.
- Excellent organizational, planning, and time management skills.
- Excellent interpersonal skills.
- Experience with budget creation and management.
- Valid Driver’s License.
- Excellent proficiency in MS Office.
- Moderate proficiency in Desktop publishing with Canva, Constant Contact, and Social Media.
- Proficient in the use of a Digital Camera.
- Appropriate Telephone Skills.
- Working knowledge of Culpeper County Region.
- Working knowledge of computers, mobile, and other digital tools.
