Events Coordinator
Full-Time
Reports to: President/CEO
Salary Range: $45,000 – $50,000
Position Summary
The Events Coordinator is responsible for the planning, coordination, execution, and evaluation of all Culpeper Chamber of Commerce events. This role provides direct support to event committees, vendors, sponsors, and volunteers, ensuring that Chamber events are successful, financially responsible, compliant with policies and regulations, and aligned with the Chamber’s mission and values.
Essential Duties and Responsibilities
Event Planning & Execution
• Plan, coordinate, and oversee all Chamber events, including but not limited to:
o State of the Community
o Women’s Lift Event
o CulpeperFest
o First Responder Appreciation Programming
o Business in Education (BIE) Day
o Annual Meeting & Awards Banquet
o Legislative Breakfast
o Before/After Hour Socials
• Provide staff support to event committees
• Define committee roles, requirements, goals, and event budgets
• Coordinate committee activities to ensure timelines and objectives are met
• Ensure event marketing is timely provided to the Membership & Marketing Manager
• Create volunteer sign ups and manage volunteers on site for all programs
• Ensure all events comply with legal, safety, and insurance requirements
• Manage vendor bidding and service procurement in accordance with Chamber policies
• Coordinate collection of event revenue and payment of event-related expenses
• Conduct post-event evaluations and prepare written reports for committees and the CEO
Member & Community Engagement
• Collaborate with community partners to align event calendars and avoid scheduling conflicts
• Assist in identifying and developing new event opportunities that increase Chamber visibility and community engagement
• Support efforts to secure corporate and event sponsorships from Chamber members
• Represent the Chamber professionally at events and member activities
Administrative, Financial & Membership Support
• Make outbound phone calls to members with outstanding membership dues as assigned, documenting outreach and outcomes in ChamberMaster
• Coordinate with the Membership & Marketing Manager and CEO regarding member account follow-up related to events and participation
• Maintain accurate event participation and engagement records in ChamberMaster & on social media platforms
• Assist in preparation of the annual budget by providing historical data and recommendations related to events
• Perform other duties as assigned

Minimum Qualifications (Knowledge, Skills, Abilities)
• High school diploma or GED required
• Must be at least 21 years of age
• Previous experience in event coordination, hospitality, or administrative support
• Excellent written, verbal, and interpersonal communication skills
• Strong organizational, planning, and prioritization skills
• Ability to work independently and collaboratively as part of a team
• Willingness to attend Chamber events before and after regular business hours
• Willingness to travel regionally as needed
• Valid Virginia Driver’s License
• Proficiency in MS Office and digital tools
• Working knowledge of Culpeper County and surrounding region preferred
